Add or Remove Students from an Experience

Overview

Use this page to add or remove students from a Work Based Learning experience. This page is helpful when you need to update experience participation, onboard new students, or remove students who are no longer participating in an experience.

Permissions / Access

Available to:

  • CTE Coordinators and School Administrators (manageexperiences).

Also available to:

  • Students creating their own experience (student submissions enabled) - the field is pre-filled with the submitting student in that case.

Not available to:

  • Supervisors or Partners.

Work Based Learning -> Experience -> View/Edit

Steps

Add Students to Experience

  1. Select the Work Based Learning tab in left navigation menu.
  2. Click the Experience button from the main WBL navigation panel.
  3. Click View/Edit for the experience you want to Add/Remove students from.
  4. Click the Edit Button at the bottom of the page.
  5. Scroll down to Participating Students.
  6. Choose the students from the available list, and click Save Experience.

Remove Students from Experience

  1. Select the Work Based Learning tab in left navigation menu.
  2. Click the Experience button from the main WBL navigation panel.
  3. Click View/Edit for the experience you want to Add/Remove students from.
  4. Click the Edit Button at the bottom of the page.
  5. Scroll down to Participating Students.
  6. Select the student(s) you want to remove and click Save Experience.

Result

  • Selected students are added to or removed from the experience.
  • Updated student assignments are reflected in the experience records.
  • Student access to experience materials and workflows is updated accordingly.
  • Selected students are linked to the experience as Student Experience instances. When the experience is approved, form approval requests are triggered for all linked students.

Notes / Tips

  • Confirm the experience and student information before saving changes.
  • Review student status and eligibility before adding them to an experience.
  • Removing a student from an experience does not delete their historical activity or records.
  • Make sure you have students within your list of users. If you don't it won't let you add any students to the experience.

Troubleshooting

Common issue: A student you want to add does not appear in the available list.

Solution: Confirm that the student account exists, that the student is in the correct organization, and that they are not already assigned to the experience. You'll have to create a user account for the student if they are not a current user within the platform.

Common issue: A student cannot be removed from an experience.

Solution: Check whether the student has incomplete activities or dependencies; you may need to reset or complete their status before removal.
